Position Summary:
As our Executive Assistant, you’ll play a critical role in supporting the day-to-day activities of the executive team—helping them stay focused, organized, and efficient. You’ll manage administrative duties, handle sensitive information, and directly contribute to financial accuracy by overseeing accounts payable processes, tracking due dates, and maintaining vendor communications. Key Responsibilities:

• Manage executive calendars, schedule meetings, and coordinate travel logistics with speed and precision.
• Monitor and manage accounts payable, including invoice processing, vendor follow-ups, and payment tracking.
• Ensure timely bill payments and maintain accurate records for financial reporting.
• Act as the main liaison between executives and internal/external stakeholders with professionalism and confidentiality.
• Proactively identify and resolve scheduling or billing issues before they escalate.
• Research and assist on strategic projects, providing logistical and administrative support.
• Support the executive team with ad hoc tasks, ensuring daily operations run smoothly.

Who We’re Looking For:

• A proactive individual with 2–5 years of experience in both executive assistant support and accounts payable or financial coordination, ideally with hands-on experience using QuickBooks.
• Strong organizational skills with the ability to manage competing priorities and meet deadlines.
• Excellent communication and interpersonal skills, both written and verbal.
• Sharp decision-making skills and a high level of common sense.
• Comfortable working independently and eager to take initiative.
• Open to mentorship, with a desire to grow within the company.

Qualifications:

• Bachelor’s degree or equivalent work experience.
• Familiarity with invoice processing, vendor coordination, and payment tracking.
• Strong proficiency in Microsoft Office, Google Workspace, and general business tools.
• Experience in a fast-paced, dynamic administrative role is preferred.

Job Type: Full-time.
Pay: $18.00 - $30.00 per hour.
Expected Hours: 40–43 per week.
