Job Description

Your mission

The Director of Registry and Governance is the custodian of all the policies and procedures. They are also responsible to ensure that all the committees that are vital for the governance structure are conducted and minuted in an effective manner. They are also responsible for all academic recordkeeping across all campus. This includes compilation, maintenance, and tracking of student academic records for both internal and external uses. The Registrar is responsible for ensuring the integrity, accuracy, confidentiality, and maintenance of student records in compliance with all local, state, Federal, and accreditation regulations and should be able to respond to all inquiries expected in an audit or accreditation process. The Registrar will also supervise the daily functions of the Academic Support Office, and Student Records (as applicable). 
They will also oversee the Designated Visa Officers for all the campus, and ensure that we have robust mechanisms in place to ensure compliance with student visas.

Tasks and Responsabilities

  • Plans, implements, administers, and evaluates all functions and services of the Registrar's office including procedures, processes, and computer systems; develops and modifies procedures/systems in accordance with institutional needs and objectives. 
  • Evaluates all functions and services of the Academic Support Staff and Office including procedures and processes (as applicable).
  • Supervises and evaluates all the functions and services of the Student Records (as applicable). 
  • Oversee the administration of data entry for the SIS- Student Information Systems and LMS-Learning Management Systems (as applicable).
  • Administrates and develops a system to maintain student academic records.
  • Interprets academic rules and regulations; monitors academic progress of students; and coordinates probations, Dean's list, and all other academic awards alongside Dean of Academic.
  • Oversee graduate and transcript processing and coordinates academic information for graduation clearance.
  • Oversee any responses required for inquiries concerning academic performance and resolves problems regarding student records.
  • Organizes and conducts registration process of new and continuing students.
  • Performs regular audits to ensure compliance with policies relating to documentation required in academic files to include high school, college transcripts, evaluations, and translations, etc.
  • Coordinates with all departments to maintain consistent processes and standards regarding development, flow, and maintenance of student records. 
  • Ensures accuracy and security of official student records, including both electronic and manual records and files. 
  • Accurately and promptly processes attendance and grades.
  • Processes entry of transfer credits in a timely manner. 
  • Assists with annual reports to regulatory and accrediting agencies. 
  • Carries out/participates in a variety of key planning tasks, such as creation of the master schedule, computerizing student records systems, preparing enrollment projections, and analysis of classroom facility needs. 
  • Advised students on all matters related to their immigration status while studying 
  • Oversee accurate visa records and robust processes for all countries 
  • Assist in keeping the school compliant with state, national, and organizational standards of compliance.
  • Maintain open lines of communication with all international students in to facilitate elevated levels of student satisfaction concerning their experience at SIU. 
  • Assist with maintaining up to date student accounts.
  • Overseeing the processing of transfers in and out of school
  • Reporting and uploading evidence for changes of employers and job titles.
  • Adheres to providing quality student service Participates in professional development activities and serves on committees as needed.
  • Ensure that governance and committees structures are robust and decisions are made through an approved processes.
  • Act as a custodian of all committee decisions and paperwork with committee chairs ensuring the updating.
  • Performs other duties as assigned
  • Team Leadership: Enhance the structure and unity of the Registrars across campuses to drive operational excellence and service consistency. 
  • Intradepartmental Collaboration: Strengthen cooperation among SIU teams to elevate Registry service levels and improve operational efficiency.
  • Process Standardization: Ensure standardized Registry processes across campuses, with a focus on rigorous document management, auditing, and quality assurance.

Your Profile

  • Bachelor’s Degree preferred.
  • 2 years’ experience in Higher Education.
  • Experience with online learning management systems (LMS - such as Blackboard).
  • Strong experience in digital records management
  • Strong computer skills (PC) 
  • Experience with Student Information Systems desirable
  • Strong communication and analytical skills
  • Ethical, with a high level of personal integrity
  • Strong organizational skills
  • Fluent English
  • Spanish, French, or German a plus
